1) Create (register) your account.Technical note: This site, at times, will take 1 minute or more to respond. Please be patient.Start at: www.GMFReimbursement.org (GMFR). Use the "Sign In" link to register your new account.Your contact information may be used for reimbursement related messagesandpayments, double check your information! 2) Carefully, read and follow the "A), B), C)s..." concerning a "typically approved" Reimbursement Request, below.
3) Create a New Reimbursement Request, in your account by clicking on the "Began A Request" button.
4) Edit the request by clicking the "My Requests" button in your "Account Information" page, to view your requests on the "Reimbursement Requests" page. In this page, select the request you want to work on by clicking on the "Edit" word to its left. This will bring you to the "Edit Request" page. If the word to the left of the requests left says "View" you will not be able to edit the request, only viewing will be allowed.5) Upload Receipts and Attached Files, to your request. Use the "Save" button often at the bottom of your "Edit Request" page.
TIP: Receipts and their associated supporting documents are the types of documentation that are usually the most easily understood by the voters.6)Approval: When all looks well with your request information, press the "Finalize and Submit" button. Button example:
After you submit your completed request, look for an email letter and an indication on your "Edit Request" page, as to the decision or other responses from the Reimbursement Helper. Please Note: Once you press the "Finalize and Submit" button you will no longer be able to edit your request, by this action you have given it over to the Reimbursement Helper. If you need it back, please notify the helper using the "Contact Us" tab above.
7) Personal Helper: Can I give another person access to one or more of my reimbursements? YES, to do so have them sign up for their own account. Next, add their account's email address to each reimbursement you want them to help you with. They will be able to do anything you can do on that reimbursement, except they will not be able to "Finalize and Submit" the request. Only you can do the submission. Your Personal Helper will also be sent a copy of the emails sent to you concerning the reimbursement request, if your "Send a copy..." box was checked when you added them. If after signing them up as a helper, you decide not to allow them to be sent a copy of the emails, remove them and re-add them with the "Send a copy..." box, unchecked.
What sort of a Reimbursement Request is typically approved?
The Reimbursement Request that is typically approved contains the following components:
A) Activity Description, Add a short and to the point,description of this Gospel Activity in the "Activity Description" window. All further discussion and documentation needs to be added elsewhere, like in the description of an uploaded receipt, an uploaded file, or as an uploaded file itself.
B) Receipts that were paid from your personal funds, and that are less than 6 months old. The 6 month time stops on the last submission prior to an approved reimbursement request. Remember to start your request development early enough so the the receipts will not expire during the approval process. C)Receipts with documentation in the Attached Files area, showing how they were used for the Gospel. In general, the more complete the report, the easier it is for those involved to make the final decision.
D) Receipts that have NOTHING to do with any Church: planting/building, activities, programs, or donations.A definition of a church is: An organization having structure that is biblically ordained for the New Testament church era – elders, deacons, the ceremonial ordinances (water baptism and the Lord's Supper) and membership.
E) Receipts for items that are no longer owned by you. For example, if you purchased 1,000 Tracts from a printer for a total of $100, and gave away 800 of them, then the receipt documentation would show that you should be reimbursed to the amount of $80, not $100. If you rent a conference room for a Bible study, the receipt is only useful to the extent of the rental period that has already expired. Another example: You drive your car 100 miles to attend a tract distribution. The documentation needs to show the mileage and a basis for the cost per mile that you used to arrive at the car’s cost.
F) Receipts for Literature, Audio/Video, and Other Types of items that follow these requirements: 1) Bibles, can be of copyrighted material and need to have the first 4 pages photographed or scanned. The copying of these first 4 pages is assumed to be within the "Fair Use" doctrine. This should include the ISBN number (if it exists), the title page, and the publisher’s information. Include this material with your documentation. 2) Tracts and other literature, used for this program, must NOT be copyrighted material. Also a copy of the material needs to be included with your documentation. See below for postal mail information, if needed. 3) Audio and Video material, used for this program, must NOT be of copyrighted material. Also a copy of the material needs to be included with your documentation. See below for postal mail information, if needed. 4) Other Types, must be such as they do not increase the secular wealth of the receiver. A few examples of disallowed item types are: computers, cameras, cars, etc. In general, Other Types are items that have been consumed or used up by the time of the reimbursement request. Some examples of these are: travel services (air, train, bus, taxi, rental car, etc.), food services, lodging, internet service, advertising, etc..Note: Items "not of copyrighted material", means that the items are in the public domain. They may be legally copied and/or modified, and distributed, without permission.
G) Attached Files , where appropriate, that include contact information of others which we can call on to ask questions about this your Request.
H) Attached Files , include teaching content, photos (location, equipment, environment, people,...etc.), maps, coordinates (GPS), and addresses concerning Any Related Item that may help others understand this activity. For instance, if you are distributing tracts, include photos of tracts being distributed.
I) A singleAttached Filethat includes a "User Description file". This is a brief description of your gospel activities. You need upload this information as a file type ".pdf" or ".doc" or ".txt", with the file name: "User Description file for Your Name". Also, in the file description area, enter: "User Description file for Your Name". DO NOT include any quote marks ( " ). The "Your Name" part of the description needs to be replaced by your actual name. An example of an Attached File for John Smith: File name: User Description file for John Smith.txt File content:My name is John Smith, and as the Lord allows, I distribute tracts (brochures teaching about the Bible), Distribute Bible Information over the Radio, and over the Internet. Also at times I attend meetings with others that share similar interests concerning the teachings of the Bible. Description area entry: User description file for John Smith.
J) An overall concern relating to Good Message Foundation auditors, USA Internal Revenue Service auditors, and others in helping them to understand, and report clearly what they found, to their superiors.
If I need to send some material by postal mail to GMFR, what should I do?
- Notify the Reimbursement Helper using the "Contact Us" tab after you login. In the message mention your email address, your User ID, your Request ID, and something about the item you are sending.
- Wait for a response from the Reimbursement Helper which may include a shipping reference number. Do not ship without a shipping reference number.

- Include your shipping reference number, your name, email address, User ID number, and Request ID number, on the outside of the package, and inside with the material you send.
